Purpose/Event:
BCA Governmental Affairs Conference (CAC) will be held at the Grand Hotel in Point Clear, Alabama from July 30- August 1, 202I . Approximately 500 people are expected to attend the GAC, including public officials/employees (and their spouses) along with BCA staff members, representatives of BCA members, and other business and government leaders from across the state. BCA will pay for the cost of public officials/employees and their spouses to attend the CAC. This includes waiving the conference registration fee, providing lodging for up to two nights, and participation in conference events and activities. On Friday, the BCA board of directors and various BCA policy committees will hold meetings during the day. That evening, BCA will host an indoor reception and dinner at the hotel with a buffet style meal and family friendly activities. Saturday will begin with breakfast at the hotel followed by numerous informational sessions. The first will include a bipartisan panel of state legislative leaders from the House and Senate focusing on key issues facing Alabama. Afterwards, a federal panel consisting of participating Congressional Offices from the Alabama delegation will provide an update on federal issues that are important to the state. The GAC pool and golf events are official conference activilies planned by BCA and are included as part of the GAC schedule of events described above (and in the included agenda). As such, they are integral parts of the GAC consistent with the above guidance. Importantly, both of these events are being held at a time when no other official conference activities are taking place, and they will not result in attendees missing any other conference activities. Thus, we believe that it is penrissible to host these events during the conference and to permit the public official/employee attendees to participate in these activities in the same manner as all other conference attendees. BCA intends to waive the registration fee and pay for the lodging costs to facilitate the attendance of public officials/employees at the conference. The hotel costs $409 per night (plus $28.63 in taxes and $61 .35 in fees), and the conference registration fee is $750 per attendee ($325 for spouses). Registered attendees also receive meals, food, beverages, the ability to participate in either the pool or golf event, a conference t-shirt, and conference materials. These expenses are primarily covered by attendee registration fees and GAC sponsors. Some members/sponsors may also provide attendees with promotional items (e.g., sunscreen, water bottles).
